Onboarding 3 workflow builds for Q1 2027

Check availability

The workflow library.

Twelve processes Indian teams ask us to fix most often. Each one has a before, an after, the integrations it needs, and the guardrail that keeps it honest. Steal the specs.

12 workflow specs Updated November 2026 Most can pilot in 3 weeks
01 Repeated. It happens most days, the same way, with the same inputs. Selection criterion
02 Rules-based. A new person could be trained on it in a week. Judgement is the exception, not the job. Selection criterion
03 Measurable. There is a baseline: hours, response time, error rate, or cost per run. Selection criterion

If a workflow fails one of these, we’ll usually tell you not to automate it yet. The audit is where we check.

Channels

WhatsApp Business Discord Signal (bridge) Telegram Email Web forms Slack Voice

WhatsApp is chargeable per Meta API pricing. Discord, Signal, and Telegram do not charge per message, but hosting or bridge costs may apply. Signal support uses a bridge and a dedicated number; reliability depends on the bridge.

WhatsApp lead qualification

Every inbound message gets a useful reply in minutes, a qualified record in the CRM, and a human handoff only when it matters.

Before

Messages sit in a shared phone. Whoever is free replies. Half the leads go cold; the CRM is updated on Fridays, if at all.

After

Agent replies in Hindi/English, asks 3 qualifying questions, checks stock or availability, books a call, and logs everything.

Trigger
New WhatsApp message, web form, or missed call
Integrations
WhatsApp Business API · CRM (Zoho/HubSpot) · Sheets · calendar
Guardrail
No discounts or delivery promises without approval; opt-out respected
Metric
First response time · qualified leads/week · CRM completeness

Proposal & RFP drafting

Turn a discovery note and a scope call into a first-draft proposal that sounds like your firm — not a generic template.

Before

A senior person spends 4–6 hours per proposal pulling old decks, pricing, and case studies. Weekends are for RFPs.

After

Agent assembles scope, assumptions, timeline, and pricing from approved blocks; a partner edits and signs off.

Trigger
New RFP email or CRM opportunity stage change
Integrations
Gmail · Drive · CRM · pricing sheet · e-sign
Guardrail
Approved case studies only; pricing always human-approved; no invented credentials
Metric
Hours per proposal · response time · win rate

Renewal & churn signals

Catch the account that went quiet, the champion who left, or the usage drop — before the renewal call.

Before

CSMs check dashboards when they remember. Risk is discovered in the renewal conversation, when it’s too late.

After

Agent watches usage, tickets, and email sentiment; drafts a weekly risk list and a tailored check-in for each account.

Trigger
Daily schedule + usage threshold + renewal window
Integrations
Product analytics · CRM · helpdesk · Gmail
Guardrail
Drafts only; CSM sends. No automated discount offers.
Metric
At-risk accounts caught · renewal rate · time to intervene

Multilingual support triage

Classify, answer, and route tickets across Hindi, English, and regional languages — with order data in context.

Before

Every ticket is read by a human. “Where is my order?” gets a copy-paste reply. Refunds wait for a supervisor.

After

Agent answers from docs and order data, tags intent, drafts refund decisions, and escalates edge cases with a summary.

Trigger
New ticket, WhatsApp message, or email
Integrations
Freshdesk/Zoho Desk · Shopify · logistics API · docs
Guardrail
Refunds above ₹2,000 need approval; no medical/legal advice; confidence threshold

Voice notes to structured tickets

Customers send 90-second voice notes. The agent transcribes, extracts the issue, checks the account, and creates a ticket.

Before

Someone listens, types a summary, asks the customer to repeat the order ID, and assigns it manually.

After

Transcript + intent + order ID + urgency captured automatically; customer gets an acknowledgement in their language.

Trigger
Voice note received on WhatsApp or IVR upload
Integrations
WhatsApp API · speech-to-text · helpdesk · order DB
Guardrail
Human review for safety/legal language; recording consent notice

Invoice-to-Tally

Extract line items from PDF invoices, match POs, flag mismatches, and draft Tally entries for a human to approve.

Before

Invoices arrive by email and WhatsApp. Two people retype them, match POs by eye, and find errors at month-end.

After

Every invoice parsed, matched, and queued. Mismatches flagged with the exact line; clean entries posted after approval.

Trigger
Invoice email/WhatsApp attachment or Drive folder
Integrations
Gmail · Drive · Tally · purchase orders · approval channel
Guardrail
No auto-posting; human approval; duplicate and vendor fraud checks

Collections follow-up

A polite, persistent accounts-receivable sequence that knows the invoice, the promise date, and when to escalate.

Before

Collections depend on someone’s calendar. Follow-ups are awkward, inconsistent, and often too late.

After

Agent sends scheduled reminders, logs promises, flags broken commitments, and prepares a call brief for the owner.

Trigger
Invoice due date · payment promise · aging bucket
Integrations
Tally/Zoho Books · Gmail/WhatsApp · payment gateway · CRM
Guardrail
Tone limits; no legal threats; human approval for write-offs/settlements
Metric

Finance Any GST-registered business

GST reconciliation & MIS

Match purchase register, GSTR-2B, and bank entries; explain the gaps; draft the monthly finance pack.

Before

Month-end is a scramble of Excel lookups. Mismatches are found late; the same explanations are rewritten every month.

After

Agent reconciles the three sources, categorises exceptions, drafts journal notes, and assembles the MIS narrative.

Trigger
Monthly close calendar + GSTR-2B availability
Integrations
Tally · GST portal exports · bank statements · Sheets

Dispatch exception handling

Detect delayed shipments, stock-outs, and failed pickups; explain the cause; notify the customer before they ask.

Before

The customer discovers the delay. The team scrambles across courier portals, WhatsApp groups, and spreadsheets.

After

Agent watches dispatch SLAs, identifies the exception, drafts the customer update, and opens a task with the courier.

Trigger
Courier webhook · SLA breach · inventory threshold
Integrations
Shiprocket/Delhivery · Shopify · helpdesk · WhatsApp
Guardrail
No compensation promises; human approval for refunds/replacements
Metric

Vendor & procurement coordination

RFQs, follow-ups, quote comparison, and PO status — without a human babysitting the inbox.

Before

Purchasing sends RFQs one by one, chases quotes on WhatsApp, and compares them in a spreadsheet only they understand.

After

Agent sends RFQs, collects quotes, normalises terms, flags the best three, and drafts the PO for approval.

Trigger
Reorder point · purchase request · approved vendor list
Integrations
Email/WhatsApp · Sheets · ERP/Tally · vendor master
Guardrail
Approved vendors only; no auto-PO; conflict-of-interest checks
Metric

Resume screening & interview scheduling

Screen against the role, not keywords; schedule the shortlist; keep every candidate informed.

Before

400 applications, 60 unread messages, interviews booked by hand. Good candidates drop out waiting.

After

Agent scores against a rubric, explains the shortlist, books slots, sends reminders, and logs reasons.

Trigger
New application · shortlist stage · interview request
Integrations

Human makes the decision; no protected attributes; audit reasons

Onboarding & payroll queries

A new joiner gets answers on day one; the HR team stops answering the same ten questions.

Before

Onboarding is a checklist in someone’s head. Payroll queries arrive on WhatsApp and get lost.

After

Agent runs the onboarding sequence, collects documents, answers policy questions, and routes exceptions to HR.

Trigger
Offer accepted · payroll cycle · employee query
Integrations
HRMS · Drive · WhatsApp/Slack · payroll exports
Guardrail
Sensitive data access scoped; no salary decisions; human escalation
Metric

A useful filter

Automate the work
you can describe.

If two people can’t agree on what “done” looks like, an agent will only make the disagreement faster. We start with the process you can draw on a whiteboard.

01

Stable inputs

The work arrives through a known channel — WhatsApp, email, a form, a webhook — most days.

Good sign
02

Clear rules

You can explain the decision to a new hire in under a week. The exceptions are known.

Good sign
03

Cheap mistakes

A wrong answer can be caught, corrected, and doesn’t create legal or safety risk.

Good sign
04

Measured today

You know the current hours, error rate, or response time. No baseline, no proof.

Good sign

Where agents fail

Honest limits.

“The process changes every week.”

Then automate the stable core, not the whole thing. An agent can handle intake, lookup, and drafting while humans own the changing policy. If nothing is stable, fix the process first.

“The tool has no API.”

We can sometimes use email parsing, browser automation, or a scheduled export. But brittle workarounds cost more to maintain. We’ll tell you when the integration isn’t worth it.

“One mistake would be very expensive.”

Then the agent drafts and a human approves. That still removes most of the typing and lookup time. Full autonomy is a choice, not a requirement.

“We need it to be 100% accurate.”

No system is. We define the acceptable error rate, measure it on real cases, and design the fallback. If the required accuracy is beyond the workflow, we’ll say no.
